.As an Executive Assistant you will provide comprehensive administrative support to the executive team and internal organisational forums. We are looking for someone with proven experience in similar roles to ensure the smooth operation of management circle activities, including the executive board. This person should master administrative skills, strategic insight, legal topics and strong communication (written and spoken) abilities in Portuguese and English. Here's what you'll be focused on You will be pivotal in ensuring the efficient functioning of the internal management circles. The position requires a combination of administrative expertise, strategic insight, and strong interpersonal skills to support operations and enhance corporate governance. The ideal candidate will be super organised, discreet, and proactive, with a commitment to maintaining high standards of professionalism and confidentiality. Coordinate meetings, including logistics, agenda planning, and materials to be presented in the meeting. Prepare, distribute and keep record of meeting minutes in a timely manner. Liaison between board members, management team, and external stakeholders. Facilitate effective communication, information flow and effective meeting discussions. Assist in the preparation of reports, presentations, and briefing materials for board meetings. Organise and coordinate management-related events, such as retreats, strategy sessions, and social events, including managing the logistics, venue, catering, and audiovisual arrangements. Able to handle confidential information and sensitive information with the utmost discretion and professionalism. Interface with compliance and governance areas. Provide administrative support to board members, including travel arrangements, expense reports, and correspondence. Assist with special projects or initiatives coordinated by the executive team, including research, data analysis, and report preparation. Here's the lowdown on the skills you're likely to have Bachelor's degree in business administration, corporate governance, law, or related field. Minimum of 5 years of experience in an executive assistant role or similar administrative position. Proficiency in Microsoft Office tools (Word, Excel, PowerPoint, Outlook). Exceptional organisational and time management skills, able to effectively manage multiple priorities and deadlines. Strong verbal and written communication skills, with attention to detail and accuracy (Portuguese and English are mandatory). Have a proactive approach to anticipating needs and addressing potential issues before they arise. Strong analytical skills to compile, analyse, and present data effectively.
