The Fleet Coordinator at the station level is responsible for the effective management and coordination of the rental vehicle fleet. This role involves ensuring optimal fleet availability, handling vehicle transfers, conducting vehicle appraisals, and coordinating maintenance, repairs, and fuel inventory. The Fleet Coordinator will work closely with the station management, counter sales team, and workshops to support seamless rental operations while ensuring compliance with all policies and standards.
Key Responsibilities:
Fleet Coordination & Management: Monitor and manage the availability of the vehicle fleet in the station, ensuring that vehicles are ready for rent based on demand and capacity.
Organize vehicle transfers between stations as per capacity allocation decisions from national or regional entities.
Oversee the vehicle appraisal process to assess vehicles for rentable standards and ensure damage reports are properly filed.
Coordinate with workshops to manage vehicle maintenance and repairs, ensuring vehicles are serviced in a timely manner.
Identify vehicles that are slow-moving or inactive and work with station management to ensure optimal utilization.
Fuel & Inventory Control: Perform regular fleet and fuel inventory reconciliation to maintain accurate records and prevent discrepancies.
Track overdue vehicles and take appropriate action to ensure timely returns.
Assist with the identification and management of stolen vehicles through timely reporting and collaboration with authorities when necessary.
Delivery & Collection (D&C) Oversight: Coordinate the organization of vehicle deliveries and collections, ensuring efficient turnaround and customer satisfaction.
Liaise with the customer service team to ensure that the fleet is allocated appropriately for reservations and daily operations.
Conduct outbound customer contact to organize vehicle maintenance and follow-ups.
Understand mechanical issues and allocate vehicles to the appropriate workshops.
Work closely with workshops and external service providers to ensure timely completion of maintenance and repair tasks.
Process Compliance & Documentation: Ensure that all fleet management processes comply with internal and external policies, including process quality audits, health and safety standards, GDPR compliance, and fraud detection.
Archive vehicle-related documents and manage the station's cash handling related to fleet services.
Secondary Tasks:
Support the Station Manager in monitoring local fleet availability and adjusting pricing tactics based on competitor pricing and demand trends.
Participate in defining and executing station-specific tactical upgrades or vehicle availability policies.
Provide assistance to the counter sales team with rental extensions, renewals, and customer inquiries related to fleet availability and vehicle allocations.
Experience: 2-3 years in a fleet management or logistics role, preferably in the automotive or rental industry.
Skills: Strong organizational and multitasking abilities; Proficient in inventory management systems; Excellent communication skills for both internal and external interactions.
Technical Knowledge: Basic understanding of vehicle maintenance and repair processes; familiarity with vehicle appraisal standards.
Compliance Awareness: Knowledge of health and safety standards, data protection, and fraud detection protocols in a fleet or rental business.
Customer Service: Ability to handle customer inquiries, work under pressure, and maintain a customer-first approach in fleet coordination.
Valid driving license required. Ability to work in a fast-paced, dynamic environment, balancing multiple priorities. Attention to detail in managing fleet availability, reporting, and compliance tasks.
