Context
We seek an experienced Building and Facilities Lead to oversee facility operations in Portugal, ensuring operational efficiency, sustainability, and compliance with safety standards. This position focuses on coordinating, managing, and optimizing the operations of building facilities in Portugal, ensuring compliance with safety regulations and sustainability standards.
Your Responsibilities
Coordinate Facilities Operations in Portugal (1,200 m² on two floors, annual budget of 1.2M euros)
Coordinate all building services operations: cleaning, security, waste management, HVAC, electrical, and plumbing with two local facilities officers and specialists.
Cost management: monitor and manage the facility budget, control operational costs, and oversee procurement of necessary supplies and services; and report to the global team.
Compliance and safety: ensure full compliance with local and international safety regulations and environmental standards, conduct audits, and implement corrective measures.
Vendor and contract management: coordinate with contractors and service providers to ensure high-quality service delivery and manage contracts efficiently.
Space planning: evaluate and anticipate future facility needs, including renovations, maintenance projects, and space optimization.
Occupancy monitoring: Support the monitoring and analysis of building occupancy data to help optimize space utilization and operational efficiency.
Sustainability focus: implement energy-efficient initiatives, reduce the facility's environmental footprint, and align with corporate sustainability strategies.
Support the Global Team and Building Portfolio
B&F portfolio coordination: assist the GO facilities team by providing reporting, budget forecasting, and contract renewals.
Cross-country collaboration: work with teams across different regions to ensure consistency in service delivery and share best practices for facility management, physical security, and sustainability.
Project support: contribute to global and local projects that might involve fit-out or relocations, ensuring these initiatives align with AXA GO standards.
Your Profile
Education: Degree in Facilities Management, Real Estate, Engineering, Business Administration, or a related field.
Experience: 7+ years of experience in facilities management or real estate, ideally with exposure to multinational operations through firms like JLL, CBRE, Colliers, or similar. Strong background in managing complex building operations and driving sustainability initiatives.
Skills: Strong organizational, communication, and problem-solving skills, with the ability to manage multiple facility-related tasks simultaneously.
Technical Expertise: Deep knowledge of building systems (HVAC, electrical, plumbing) with a focus on sustainability and regulatory compliance.
Languages: Fluent in Portuguese and English; additional European languages (French or Spanish) are a plus.
Industry Expertise: Experience from leading real estate or facility management firms, with a focus on operations.
