The Role…
The Talent Acquisition Operations Specialist will play a key administrative role in supporting Talent Acquisition activities across our divisional teams with a focus on scheduling and coordination for our Technology and corporate area. The ideal candidate is highly organized and a proactive problem solver who is passionate about delivering a first-class recruitment experience for candidates and internal teams.
You will be building relationships with both internal and external stakeholders, acting as the first point of contact for recruitment enquiries and supporting the team in the interview scheduling. It is expected to provide a five-star candidate experience, as well as constantly striving to improve our processes for candidates and ensuring proper training sessions – content preparation and delivery - and inductions to hiring managers alike.
What You'll be Doing...
Coordinate and schedule interviews with candidates who are shortlisted and the hiring panel, ensuring interviews are booked in diaries with confirmation emails to both the Talent Acquisition team and the candidates.
Ensuring a smooth interview experience for candidates and interviewers.
Ensure that the operational recruitment process continues to run smoothly and effectively.
Carrying out a range of administration tasks around the recruitment process supporting the team in their day-to-day role.
Managing high volumes of work. You will have high volumes of interviews and tests to schedule. It's important you can align multiple calendars and keep everyone involved happy and updated.
Ensure all administration for the recruitment team is completed on a timely, accurate and consistent basis.
Assisting with Ad hoc requests as they arise.
Stakeholder management is crucial, you'll build and maintain critical relationships with the business to ensure that the hiring operations run with the high pace and quality that is expected.

Being a connector of people. You will need to be able to provide excellent customer service to candidates and managers. Ability to effectively communicate with individuals at all levels. Fluent in English and Portuguese is mandatory.
Being adaptable is very important in this role. As an organization no two days are the same and this requires someone who can be excited by the variety a role like this brings.
Experience working in an administration high volume Talent Acquisition environment is preferred.
Strong MS office skills particularly in Excel, Outlook and Word.
Experience of working with various departments and management levels across the business. Diary management and meeting scheduling experience essential.
Team player who thrives in a fast-paced, dynamic environment.
Exceptional organizational and interpersonal skills and an extraordinary attention to detail with the ability to prioritize effectively and work to targets.
Self-starter who can take initiative and power through ambiguity.
