We are looking for Administrative Assistant (M/F)
• Location Portugal, 100% remote, for 1 week in the office (onboarding for example)
• Required start date 4th November 20204
• Required end date 30/06/2025 (Potential to extend past to full 18-month contract depending on budget & performance)
• Work schedule 40 hours per week, 9-6 Monday to Friday (flexible could do 10-7) Typical Day in the Role
As administrative support for the Western Europe Corporate, External and Legal Affairs Team based in Portugal, you will be working closely and in coordination with the Business Program Manager.
You will support a team of Legal Attorneys and Government Affairs professionals based in 12 different European countries.
You will be in charge of calendar management for our Leadership Team members, interact with our suppliers, set up new ones, raise purchase orders, take care of invoicing issues, schedule meetings, arrange travel, create travel expense reports, draft short articles on company initiatives, prepare drafts of standard statements of work and sponsorship agreements.
You will be an active part of the Europe community and as such participate in most of Team Meetings.
Succeeding in your role as administrative support involves the ability to multitask and prioritize, be pro-active, precise, and flexible but most of all be a caring person!
You will gain a unique insight into how the company works and build your network among professionals all over Europe and worldwide. Key Responsibilities
• interact with our suppliers all over Europe, including the set up new ones
• raise purchase orders for your team members in our internal purchase tool
• preparing drafts of standard statements of work and sponsorship agreements needed for Purchase Order in specific cases
• taking care of invoicing issues/ delays by interacting with our Account Payables team members
• providing support for our team leaders calendar management / scheduling meetings, arranging travel, creating travel expense reports
• drafting of short articles on MS initiatives which will be published on our internal Campaign site You must have...
• MUST have experience supporting executive-level or above roles
• MS tools familiarity with proactive can-do attitude 12 countries; Ability to draft short initiative summaries, contracts etc.
• Some basic understanding of different working tools, corporate structures, and financial concepts would facilitate the onboarding
• Extensive travel arrangements, calendar management basic business acumen knowledge great to have
English language fluent writing and speaking

• at least 5 years of experience in a similar role, as Executive Assistant, Administrative or Team Assistant in a corporate environment or multinational company.
• Fluency in spoken and written English is a must, additional language skills are more than welcome.
• The ideal candidate has no trouble with multitasking and keeping calm when things are getting hectic; has also a true interest in helping others and is a naturally caring and patient person.
• A basic understanding of different working tools, corporate structures, and financial concepts would facilitate your onboarding.
