We are on a steep growth curve and are looking for a highly organized and proactive Office Manager / Assistant to help keep our centrally located Lisbon (Marquês de Pombal) office running smoothly.

Office Management: Oversee day-to-day operations to ensure the office is organized and fully stocked (ordering drinks, snacks, and office equipment).
Manage office bills, post, and vendor relationships.
Ensure the office is always presentable, clean, and welcoming for staff and visitors.
Welcome guests, handle inquiries, and maintain a positive atmosphere in the office.
Support in organizing team events and after-work activities.
Assist in People initiatives and HR administrative tasks.
Assistant: Manage and organize the CEO's calendar, coordinating meetings and appointments.
Ensure smooth scheduling of internal and external engagements.
Assist with administrative tasks, such as delivering documents to the notary and managing paperwork.
Perform ad-hoc tasks as required to support the CEO's day-to-day work.
Your Qualifications 1-2 years of experience or proven experience in office management and assistant roles.
Experience in Human Resources is an advantage.
Fluent in English and Portuguese (B1).
Italian and other languages are a plus.
Strong organizational skills and attention to detail.
A welcoming and friendly attitude, with the ability to engage with people in a professional and positive manner.
Hands-on and proactive mindset, with the ability to take initiative and handle multiple tasks independently.
Ability to work 4-5 days per week in the office (part-time, 20 hours).
