In your new role, you will:Be the local point of contact for our teams in Porto and liaise with employees, ensuring a collaborative, safe, and sustainable work environment;Be responsible for site administrative tasks (correspondence, invoices, purchase orders, and others) and maintain the company documents archive;Monitor, implement, and report the necessary actions ensuring compliance with Occupational Health & Safety regulations;Support on travel booking trainings, and employee's inquiries and escalate any business travel-related topics when necessary;Promote, organize, and coordinate company events;Perform supplier evaluation, purchase and manage stock of stationary and office supplies;Close cooperation with facility management and support or backup in all needed topics ( maintain common areas, set meeting rooms, oversee janitorial and maintenance services, manage parking process);Support MD with local policies, general meetings, office physical inventory, and other add-hoc requests.You are a team player who can quickly establish successful cooperation with others. You have a productive mindset and can work under pressure without losing your attention to detail. Furthermore, you have excellent communication skills and the ability to work independently in a service-oriented manner. You are best equipped for this position if you have:Bachelor's degree in Secretariate, Communication Science, or related fields;At least 2 years of experience in administrative tasks and office facility management;Certified Technician of Health and Safety at work;Excellent customer service and interpersonal skills for effective communication with a wide range of contacts in a friendly and diplomatic style;Ability to work independently, effectively managing priorities and balancing demands to fulfill agreed deadlines;Good knowledge of MS Office tools;Fluency in English.
