Executive Assistant
Responsibilities
Provide high-level administrative support to senior executives located abroad.
Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements.
Prepare meeting agendas, take minutes, and follow up on action items.
Draft, edit, and proofread documents, reports, and presentations.
Handle confidential information with the utmost discretion.
Assist with the preparation and coordination of corporate events and projects.
Serve as a liaison between executives and other staff members.
Conduct research, upload, and compile data to assist with decision-making.
Office Management Responsibilities
Oversee daily office operations to ensure a smooth workflow.
Manage office supplies, inventory, and equipment maintenance.
Coordinate with IT to address technical issues and ensure the functionality of office systems.
Handle correspondence, including emails, phone calls, and mail.
Maintain a clean, organized, and professional office environment.
Plan and coordinate office events, meetings, and conferences.
Ensure compliance with health and safety regulations.
Manage office budget and expenses, including processing invoices and managing petty cash.
Ideal Profile
Bachelor's degree in Business Administration, Management, or related field preferred.
Proven experience as an Office Manager, Executive Assistant, or in a similar role.
Over 5 years of experience in similar roles.
Exceptional organizational and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
Ability to handle sensitive information with discretion and confidentiality.
Excellent problem-solving skills and attention to detail.
Ability to work independently and as part of a team.
