Junior Contract Administrator
We are looking to hire a dynamic Junior Contract Administrator to join our Company. In this role, you should be able to support the Finance team and Project Managers to ensure that all projects are running smoothly, on budget and on time.
You must also be able to support the team with preparation of reports for the Company and with cross-cutting matters to be dealt with other internal departments or other Group Companies.
Responsibilities:
Support the project manager in the updating and monitoring existing projects;
Gather and analyze project data to identify weaknesses and support resolution of time-related or budgetary issues;
Ensure all projects comply with Company standards, as well as federal laws and regulations applicable, and support Finance team with:
Analysis of the Contract Financial Terms and Conditions;
Book the order Intake & load contract billing Plan;
Request to Treasury and follow bank guarantees until their final release;
Prepare all Financial documents needed for billing;
Prepare invoice requests and keep a detailed file with all the invoices issued, including customer, project ID and description, request number, final document number, amounts, VAT code used, associated hedge guarantee if applicable, etc.;
Invoice upload (on portals) and delivery to customer;
Cash In actuals and forecast (supporting the Controller);
Follow up of overdue;
Analysis of resource allocation;
Support in the analysis of subsidies related to funded projects;
Support the Finance team during the closing of the month.
Requirements:
1 Year of experience as a Finance Assistant;
0-1 Year of relevant administrative experience;
Ability to analyze critical and complex data;
Committed to delivering high quality and going beyond;
Diplomacy, discretion, and assertiveness;
Good computer skills (Microsoft Office), including advanced Microsoft Excel knowledge and experience;
Good knowledge of the English language (spoken and written).
Minimum Level of Education, Certification & Licenses Required:
Junior profile: Degree in Business or Finance is preferred or equivalent work experience required.
