Position We are seeking an experienced and highly organized HR Project Manager to lead a multi-year payroll implementation project.
This role will oversee the migration of local payroll solutions onto a central third-party provider.
The ideal candidate will have a strong track record in project management, payroll/HR/finance systems implementation, and change management, with exceptional leadership, cultural insights and communication skills.
Responsibilities Project Planning and Execution - Develop and manage the overall project plan, scope, objectives, timelines, budget and milestones for the payroll initiative.
Identify and manage project risks, dependencies, and constraints; Stakeholder Management - Engage and coordinate with stakeholders across multiple regions, including HR, Finance, IT, and local payroll coordinators to ensure alignment and buy-in from all involved parties, as well as address concerns and resolve conflicts effectively; Project Leadership - Assemble and lead a cross-functional project team, including internal resources and external vendors.
Assign tasks, monitor progress, and provide guidance to ensure the successful completion of project objectives; Vendor Management - Collaborate with the external vendor to ensure the delivery of a robust and scalable payroll solution.
Manage vendor contract, service-level agreements (SLAs), and performance.
Ensure vendor activities align with project timelines and quality standards; Process Standardisation and Optimisation - Work with the local teams to identify opportunities for process improvement, implement best practices and standardize processes.
Ensure compliance with local regulations and organizational policies; Change Management and Communication - Develop and execute a comprehensive change management strategy to support the adoption of the new payroll platform.
Monitor and address resistance to change.
Design and deliver training materials, workshops, and communication plans for end-users; Reporting and Documentation - Maintain accurate project documentation, including progress reports, issue logs, and decision records.
Provide regular updates to executive leadership and project sponsors.
Ensure knowledge transfer and proper handover at project completion.
Profile Master level in Human Resources, Business Administration, or related field; 5+ years of experience as an HR Project Manager within an international (matrix) profit organization; Proven track record of successfully managing large-scale, multi-regional payroll, HR or ERP implementation projects; PMP, PRINCE2, or equivalent project management certification are a plus; Excellent leadership skills - Problem-solving, decisive and results-oriented leader with a focus on collaboration and adaptability; Flexible, customer-oriented attitude with strong interpersonal and communicative skills; Analytical and problem-solving thinking, with a strong hands-on mentality; Good cultural and organizational sensitivity, proven experience in change management; A good command of English in word and writing; Analytical mindset with attention to detail and ability to manage complexity and work under pressure.
