Position We are seeking an experienced and highly organized Project Implementation Specialist to support a multi-year payroll implementation project.
This role will support the migration of local payroll solutions onto a central third-party provider.
The ideal candidate will have a strong track record in project execution, payroll/HR/finance systems implementation, and change management, with exceptional execution and communication skills.
Responsibilities Implementation Planning : Assist in executing the project plan by focusing on the detailed unit-by-unit implementation of our new payroll solution.
Support defining unit-per-unit scope, objectives, timelines, and milestones.
Contribute to identifying and addressing risks, dependencies, and constraints to ensure smooth execution; Stakeholder Coordination : Work closely with stakeholders across HR, Finance, IT, and local payroll coordinators to align local requirements with project objectives.
Address concerns, provide updates, and contribute to resolving conflicts effectively; Implementation Support : Collaborate with a cross-functional team of internal resources and external vendors, taking ownership of assigned tasks.
Support task progress tracking, provide inputs to optimize implementation, and ensure alignment with project objectives; Vendor Collaboration : Partner with the external vendor to implement a scalable payroll solution.
Monitor vendor deliverables to ensure adherence to service-level agreements (SLAs), timelines, and quality standards.
Provide feedback to align vendor activities with organizational needs; Process Improvement and Standardization : Work with local teams to identify and document current payroll processes.
Support the rollout of best practices and standardized workflows while ensuring adherence to local regulations and company policies; Change Management Support : Assist in executing change management strategies to drive user adoption of the new payroll system.
Participate in the delivery of training materials, workshops, and communication plans to ensure end-user readiness; Documentation and Reporting : Maintain detailed records of implementation activities, including logs of issues and decisions.
Support the preparation of regular status reports for leadership.
Contribute to documentation and handover processes to ensure smooth post-implementation operations.
Profile Master level in Human Resources, Business Administration, or related field; 3+ years of experience as an Implementation Specialist Leader within an international (matrix) profit organization;  Proven track record of successfully participating in large-scale and multi-regional payroll, HR or ERP implementation projects; Excellent project skills - Problem-solving and results-oriented with a focus on collaboration and adaptability; Flexible, customer-oriented attitude with strong interpersonal and communicative skills; Analytical, with a strong hands-on mentality with attention to detail and able to manage complexity and work under pressure; Good cultural and organizational sensitivity, proven experience in change management; A good command of English in words and writing.
