About Us: Intapp is seeking a People Operations & Workplaces Coordinator to support the HR, Talent Acquisition and Workplaces functions out of our newly established Lisbon office. This critical role will be in the office three days a week (Tuesday, Wednesday, Thursday) and will focus on delivering an amazing experience to both Intappers globally, locally, and visitors to our office. In this hybrid role, you will bring your knowledge of People Operations, Talent Acquisition Operations and/or Workplaces while gaining valuable knowledge in our People & Places operations functions.
What you will do: This role plays a pivotal role in the establishment of many aspects of our Lisbon office. Within this role one can expect to manage inboxes for People Operations (HR and TA) and Workplaces responding to inquiries and questions to meet our SLA of same business day responses for our employees and candidates. Documentation of processes to assist in driving greater Tier 0 self-service for Intapp employees.
Additionally, you will also perform the following activities: TA Operations Ensure an outstanding candidate experience by providing necessary information, scheduling coordination, and addressing candidate inquiries as their primary point of contact.Work closely with candidates, hiring managers, and recruiters to schedule interviews with global stakeholders.Draft and audit offer letters and employee contracts.Manage the applicant tracking system (ATS), Workday, to ensure accurate and up-to-date candidate information.Collaborate with managers, employees, and a variety of internal stakeholder groups to improve awareness and candidate referral process.Regularly update recruitment databases, including Workday, and provide reports on key metrics.HR Operations Assist with inquiries and processing transactions for our hire-to-retire employee cycle.Establish strong partnerships across the COEs and stakeholders outside of the People & Places team such as payroll, legal, IT, stock, etc.Recommend improvements to HR processes, standardize work to support automation where feasible, leverage tools/systems to optimize and streamline productivity for the team and/or our Intapp community.Manage and update the Human Resources Information System (HRIS) and other HR related systems.Assist with various internal and external audits.Workplaces Responsible for the smooth running of the office.Maintain tidiness of the office.Granting access and recording of office visitors.Maintain a local lunch program.Vendor Management of local suppliers.Manage budget of local office spend.Assist in planning and delivery of office and holiday events.What you will need: Bachelor's degree in Human Resources, Business Administration, or a related field is preferred.Minimum of 3+ years' experience in a HR, Recruiting or Workplaces role.Exceptional organizational and time-management skills.Outstanding communication skills, both written and verbal in Portuguese and English.MS Office Suite experience required – Outlook, Teams, Excel, Word, PowerPoint.Self-motivated, go-getter with demonstrated ability to work effectively, both independently and as part of a team.Ability to maintain a high level of confidentiality and professionalism.Nice to have: Workday experience.FreshService or similar RMS (Request Management System) experience.MS SharePoint.Project Management tools (i.e. Asana, Microsoft Lists, or similar) experience.What you will gain at Intapp: Our culture at Intapp emphasizes accountability, responsibility, and growth.
