The Role
The HR Operations Partner plays a key role in ensuring all employees receive an efficient, professional and best-in-class service. Working closely with the People Team, the Payroll and Reward Manager, is responsible for HR administration and is the first point of contact for policy, procedure, and HR system queries.
What You'll be Doing
Manage the end-to-end process for HR administration through the employee life cycle. This includes producing onboarding forms for new admissions, employment contracts, change to terms letters, through to confirmation of leaving.
Ensure the employee's work contract complies with local legislation.
Data Maintenance & Integrity. Provide administrative support, including maintaining personnel files, and ensuring 100% accuracy in the HR portal.
Record all new starters, changes to terms, and leavers on the HR portal and ensure all necessary paperwork is received and filed alongside legal obligations.
Ensure all documentation is stored in a manner that can be accessed easily.
Manage the end-to-end process for Occupational Health for all employees.
Ensure audit requirements are adhered to in HR processes.
Continuously improve HR service delivery by identifying challenges and recommending opportunities for improvements.
Generate purchase orders and process invoices to ensure payment of 3rd party suppliers, e.g., the Occupational Health provider.
Provide support and guidance to managers on standard HR policies and procedures, such as new starters and absences.
Support new parents through the maternity and paternity leave process, advising on the policy and procedure and preparing the necessary paperwork.
Educate and inform our internal clients to ensure that services are provided and accessed through channels such as FlutterBe.
Provide support to the payroll process, including performing an internal audit on the payroll cut-off date.
Support the Payroll and Reward Manager in terms of the benefits scheme in place in Porto.
Monitor internal HR systems and databases.
Review, update, and maintain policies in line with legislative changes.
What You'll Bring
Prior professional experience as an HR Operations Partner or similar role;
Good knowledge of labour law;
Hands-on experience with Human Resources Information Systems;
Ability to remain confidential about crucial matters and handle sensitive and personal data;
Strong time-management capabilities and dependability in meeting deadlines;
Strong English knowledge;
Focus on a continuous improvement culture, proactively identifying processes for improvement and driving change by responding to business requirements;
Team player with the ability to supervise own work to ensure optimal efficiency and compliance with set procedures.
