Mission: This position has the responsibility for supporting all administrative tasks within the department and have a full understanding of the team dynamics. The position will be a support for proactive and reactive tasks. This person must demonstrate high energy levels and provide consistently high levels of customer service and teamwork. Job Description: Perform general office duties to support Sales & Groups (e.G., filing, sending emails, typing, copying). Prepare group sales-related documents throughout the sales process (e.G., proposals, contracts, or banquet event orders). Promote awareness of brand image internally and externally. Gather materials and assemble information packages (e.G., brochures, promotional materials). Enter, retrieve, reconcile, and verify information (e.G., commissions, leads, third parties) in software involved in the sales process. Answer guest questions about property facilities/services (e.G., hours of operation, rates and room types, packages, promotions, entertainment, restaurants, special events). Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests. Preparing contracts and proposals Conducting Site inspections Working closely and communicating with other hotel departments with regards to our guests Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Understands the overall market (e.G., competitors' strengths and weaknesses, economic trends, supply and demand etc.) and knows how to sell against them.. Executes and supports the operational aspects of business booked (e.G., generating proposal, writing contract, customer correspondence). Works collaboratively with off-property sales channels (e.G., Sales team within the Sales Office, Area Sales) to verify that sales efforts are coordinated, complementary and not duplicative. Requirements: Experience as a sales coordinator or in administration may be advantageous. Good team development and leadership skills
