Support the Backbone of Reia Collective's Operations and Finance Team
At Reia Collective, we are looking for a Finance & Office Administrator to provide essential support to our Financial Controller and the broader operations team. This dual-role position is critical for maintaining the smooth running of both our financial processes and day-to-day office operations. By ensuring efficient office management and assisting with financial administration, you'll help Reia Collective maintain its operational excellence and continue to thrive in the vibrant Lisbon hospitality scene.
Your Role: Efficient Administration & Financial Support
In this role, you'll be responsible for supporting the Financial Controller with a variety of tasks related to both finance and general office administration. Your efforts will ensure that our financial records are accurate, our office operations are seamless, and the team is equipped to drive Reia Collective's growth.
Financial Administration & Reporting Support
Assist the Financial Controller in maintaining accurate and up-to-date financial records, including accounts payable, accounts receivable, and reconciliation of financial transactions.
Support the preparation and management of monthly financial reports, ensuring that key financial data is organised and ready for analysis.
Help track and report on budget performance, collaborating with department heads to monitor expenditures and identify cost-saving opportunities.
Aid in generating actionable financial reports that provide insight into revenue, expenses, and the overall financial health of the organisation.
Assist with the preparation of documentation for audits and ensure that financial records are compliant with internal policies and industry standards.
Office Administration & Coordination
Manage day-to-day office operations, including handling correspondence, scheduling meetings, and maintaining internal communications.
Organise and maintain filing systems for both financial and operational records, ensuring easy access to essential documentation.
Oversee office supply management, including inventory control and procurement of office materials, to ensure that the office remains well-stocked and organised.
Support internal meetings and events by coordinating logistics and preparing any necessary materials, fostering efficient communication and collaboration among teams.
Ensure the smooth running of the office environment, managing administrative tasks to allow the team to focus on strategic priorities.
Team Support & Financial Literacy
Assist in providing support to other team members in understanding basic financial processes and utilising financial software tools.
Help foster a culture of financial literacy within the organisation by assisting with internal training and creating clear, user-friendly financial documents.
Ensure seamless communication between departments by facilitating the flow of information between the finance team and other operational areas.
Qualifications for Success in this Role
To excel as a Finance & Office Administrator at Reia Collective, you should have:
A degree or relevant qualifications in Business Administration, Accounting, Finance, or a related field.
Proven experience in office administration or financial support, ideally within the hospitality industry.
Strong organisational skills, with the ability to manage multiple tasks and prioritise effectively.
Attention to detail and accuracy in managing financial records and documentation.
Proficiency with Microsoft Office, particularly Excel, and familiarity with financial software (e.g., NetBO, R365) is a plus.
Excellent communication skills, with the ability to work collaboratively with various departments and support the financial team.
