The Role:
We are looking for an experienced, reliable and task-oriented Executive Assistant. This role provides professional, diligent and proactive administrative support to a General Manager and may require additional support in tasks related to the Porto Leadership Team. The role involves supporting the GM through active diary management and related logistics, planning and arranging international travel bookings, and providing administrative support on BAU and ad-hoc work initiatives.
You will need to understand the business priorities, demonstrate the ability to proactively anticipate needs and drive improvements. You should possess the ability to complete complex tasks quickly with little guidance and react with appropriate urgency to situations that require a quick turnaround.
You will also need to manage a team of two, providing support and ensuring that the team evolves to provide the best support to their directors.
We expect this role to start around January and for the contract to last for 1 year.
What You'll Be Doing: Diary management: Ensure diary commitments, documents, and travel arrangements are managed effectively, dealing proactively and calmly with any problems.Travel management: Coordinate travel and accommodation requirements, including itineraries and logistics, across multiple time zones.Meeting management: Schedule internal and external meetings – planning, arranging, preparing rooms, equipment, meeting papers and, where necessary, organising catering and, in some cases, minute taking, meet and greet visitors.Expense management: Processing work and travel-related expenses in a timely manner and respecting deadlines. Raising POs and arranging for certain invoices to be processed. You might also need to add suppliers.Dealing professionally and cordially with third parties, employees and senior managers on behalf of the executive.Collating and circulating updates for internal memos, reports and documents.Support the planning and execution of GM's events.Maintain effective filing systems and ensure reporting deadlines are met.Establish relationships with EAs/PAs and other staff across the business in key locations.The candidate must demonstrate flexibility, occasionally assisting with travel and logistics outside regular office hours or extending their workday as needed to address emerging priorities.Flutter is a global company and travel to overseas offices may be required from time to time.Take on ad-hoc projects as required.Manage the EA's team: Weekly catch-up meetings.Monthly feedback meetings.Receive feedback from the directors being supported by your team.Evaluations.Assure alignment amongst the team's tasks.Making sure that a cover system is in place.Support with the team budgeting for training and other relevant needs.Support the team regarding their personal development plan.Alignment and approval of annual leave.Evaluations and feedback.Help the team achieve their goals and develop their blind spots.What You'll Bring: Previous experience as an Executive or Personal Assistant, supporting senior management/Director or C-level.Experience working with confidential information.Experience managing a team and proactive problem-solving skills would be a plus.Familiarity with Zoom and Slack (for Ask me anything sessions) – is a plus.Excellent attention to detail.Excellent interpersonal skills with an ability to work with a variety of styles and personalities.Effective and comfortable dealing with people at all levels of seniority.The ability to stay calm under pressure with a mature outlook and approach.Well organized, with excellent communication skills & attention to detail.Experienced in handling and respecting highly confidential information.Proactive, with a hands-on approach and a can-do attitude.Excellent written and verbal communication skills in English.Highly proficient in Word, Excel, PowerPoint and Outlook.Comfortable operating at pace within a highly dynamic working environment.High degree of resilience, perseverance, focus and commitment.Ability to work both independently and in a team.This is what you should have.
