A prestigious company is looking to strengthen its team by hiring an Executive Assistant (m/f/d) for a remote position, with monthly visits to the office in Coimbra. Your new role As an Executive Assistant, you will directly collaborate with Senior Leadership and support day-to-day operations. Your responsibilities will include:
Coordinating visitor arrangements (room reservations, catering, check-in/out, hotel reservations) Facilitating team communication and support Managing communication and support with stakeholders Dynamically managing calendars, meeting series, and deadlines in coordination with Personal Assistants in various countries Supporting VIM workflow, including accounting and bookkeeping tasks Collecting, preparing, and reviewing status reports and progress tracking Handling ATOSS time management (holiday requests, time corrections, time violations) Serving as the central contact person for organizational and administrative matters Preparing, following up, and coordinating meetings, including taking meeting minutes Planning and executing internal events (e.g., IT Xmas, All Hands, JF, Series) Onboarding and offboarding new colleagues and external stakeholders Planning and booking business trips, including expense accounting and coordinating meetings What You Need to Succeed At least 5 years of professional experience in similar roles. Fluency in English is mandatory. Knowledge of German will be valued. Proficiency in Outlook and Excel Excellent organizational skills Exceptional communication skills with colleagues and stakeholders Effective time management abilities What the Company Can Offer You
