We are seeking a highly organized and proactive Office Manager /Executive Assistant to support together our Group Operations Center and our Executives located abroad. Description Executive Assistant Provide high-level administrative support to senior executives located abroad Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements Prepare meeting agendas, take minutes, and follow up on action items Draft, edit, and proofread documents, reports, and presentations Handle confidential information with the utmost discretion Assist with the preparation and coordination of corporate events and projects Serve as a liaison between executives and other staff members Conduct research, upload and compile data to assist with decision-making Office Management Oversee daily office operations to ensure a smooth workflow Manage office supplies, inventory, and equipment maintenance Coordinate with IT to address technical issues and ensure the functionality of office systems Handle correspondence, including emails, phone calls, and mail Maintain a clean, organized, and professional office environment Plan and coordinate office events, meetings, and conferences Ensure compliance with health and safety regulations Manage office budget and expenses, including processing invoices and managing petty cash Profile Bachelor's degree in Business Administration, Management, or related field preferred Proven experience as an Office Manager, Executive Assistant, or in a similar role Over 5 years of experience in similar roles Exceptional organizational and multitasking abilities Strong written and verbal communication skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software Ability to handle sensitive information with discretion and confidentiality Excellent problem-solving skills and attention to detail Ability to work independently and as part of a team Professional demeanour and a positive attitude Job Offer An entrepreneurial working environment in a young and motivated team A multicultural environment where we promote diversity, talent & ideas The ability to work and interact with a wide variety of specialists Internal trainings and career development Assistante; Executive Assistant; Executive Secretary; Secretária Executiva; Secretária de Direção
