We are looking for a highly organized, proactive, and resourceful Executive Assistant to support our New York-based CEO . This role is designed for a driven, versatile professional, who will be responsible for a wide range of tasks, all to ensure smooth and effective daily operations for our CEO. The ideal candidate is an innate problem-solver, with proven experience in executive-level support, keen and mature in handling sensitive information, and a strong communicator across global teams and stakeholders.
The role can be based in either Porto, Portugal, or New York, USA, so applicants must reside in one of these locations.
RESPONSIBILITIES
Executive Support: Act as the primary point of contact between the CEO and internal/external stakeholders, managing communications and correspondence.
Project Management: Assist the CEO in coordinating cross-functional projects, tracking milestones, and ensuring deliverables are met.
Strategic Initiatives: Provide research, insights, and reports to support decision-making and strategic initiatives.
Global Coordination: Schedule and facilitate meetings across time zones with international teams and partners.
Document Management: Prepare, proofread, and organize important documents, presentations, and reports.
Travel Planning: Manage complex travel logistics, including visa arrangements, accommodations, and itineraries.
REQUIREMENTS
Technical skills & qualifications:
2+ years of proven experience as an Executive Assistant or in a similar role, supporting C-level executives.
Experience with global teams and managing complex international schedules.
Tech savvy and very much able to employ different software solutions to optimize and automate as much as possible.
Top proficiency in English (mandatory, only applications submitted in English will be considered).
Additional languages are a plus.
Proficient in calendar management , G-suite, Google Slides, Excel, and project management tools.
Strong organizational and time-management skills.
Ability to prioritize tasks, work independently, and handle multiple responsibilities simultaneously.
High level of confidentiality and professionalism.
