.Air Liquide Europe Business Services (ALEBS) was created in 2019 in Lisbon, Portugal with the mandate to provide financial services for Air Liquide European entities. In the space of 4 years, it has expanded to over 400 employees based in 3 office locations: Lisbon, Tomar, and Guarda. The geographical scope was extended to include, besides the European affiliates, also entities located in Africa, the Middle-East, and India, and the operational scope was extended and includes today not just Finance, but also Human Resources. How will you CONTRIBUTE and GROW? Performs transactional and administrative tasks related to employee personal and job data changes. Delivers physical record and document management services. Ensures employee and organization data integrity and compliance. Resolve enquiries leveraging knowledge base documents (e.G. FAQs, job aids, policy documents, etc.) within the agreed service levels as defined in the Service Level Agreement (SLA). Provides regular status updates to employees and partners, maintaining contact until the request is resolved. Actively follows up on outstanding items and obtains feedback on resolution from the employees and partners. Helps and educates HR Shared Service Centre users to navigate through self-help materials & functionality where assistance is required. Assumes ownership of cases and updates the resolution accurately and on a timely basis in the case management system. Properly escalates complex enquiries to the next level of support or relevant subject matter experts. Helps to identify gaps in current knowledge base documentation and highlight improvements required to enhance the knowledge base. Are you a MATCH? Degree in HR/Social Sciences/Administration or similar. Strong organizational and time-management skills. Excellent interpersonal skills - verbal and written communication skills with the ability to interact professionally with a diverse group of people. Ability to ask relevant questions to understand and clarify issues, attempt resolution, and escalate problems if unable to resolve. Ownership and capability of working independently, taking initiative, and following up on assigned projects. Ability to act in a confidential and sensitive manner and a high sense of commitment and responsibility. IT savvy and resourceful on leveraging various tools (knowledge management, document management, HR systems) to obtain required information to resolve queries and issues. Advanced in English (written and spoken) and Spanish (written and spoken). Experience as an HR administrative assistant (recommended, and experience in a shared services environment will be considered a plus).
