Assistant Shore Excursions Manager (German) (M/F) - Seagoing Position Contract

General Responsibilities Recommend and sell tour activities to Guests and make the most of their shore side experience, offering suggestions and recommendations regarding all our ports of call.
Escort and participate in tours as needed to ensure they operate to the Guest's and Mystic Cruise's standards.
Manage the Shore Excursion Staff and assist with the daily Tour Office operation.
Help with staff rotation, ensuring the desk is manned at all times when the office is open.
Answer any Guests' questions regarding tours, ports, or individual private requests in a courteous and professional manner.
Assist the Shore Excursion Manager by preparing Live Lectures Presentations in PowerPoint as needed.
Prepare materials for guests with information regarding tours (such as changes, cancellations, etc.) in the form of a letter or flyer.
Prepare Tour Order Forms, turnaround materials, and/or any materials for the guests.
Double-check all printed material prior to distribution from the Shore Excursion Department.
Follow-up on requests for printed materials and ensure they are printed & delivered to housekeeping in a timely manner ready for distribution.
Attend functions/social events on board to increase guest interaction and help with onboard ratings, except in exceptional cases when a cruise is very busy.
Cross-train staff candidates for vacation cover.
Assist in preparing disembarkation groups and send out luggage tags with letters as required.
Maintain digital displays with the most up-to-date information and relevant notices for guests.
Ensure the Lectures in the loop played in the guests' cabins are up to date.
Ensure Shorex radios and materials are charged and ready for the following day's needs.
Prepare bus signs and all escorting materials the evening before each port call.
Other responsibilities as assigned.
Operational Responsibilities Organize and take ownership of the escorting assignments and training to ensure every bus or tour group is escorted in each port of call.
Ensure a rotation of staff to attend safety training is observed.
Report maintenance issues in work areas to the Shore Excursion Manager.
Adhere to all Company Policies and Procedures, Manuals, and Directives.
Assist in MXP inputting and organization.
Assist the Shore Excursion Manager with the daily dispatching of tours and coaches.
Assist in the preparation of items such as tour packages, briefing materials, and manifests.
Assist in the elaboration of Port Description sheets for each port of call.
Prepare for possible promotion or vacation cover by assisting in elaborating lectures and conducting live lectures as requested.
Create detailed handover notes for when leaving for vacation.
Be cost-conscious with the use of office supplies and other consumables.
Ensure that Company property is maintained properly and treated with respect.
Assist the Manager with accounting procedures, ticket cancellations, private arrangements, and discounts.
Ensure all charges and accounting issues are correct and finalized prior to disembarkation.
Team Communication and Meetings Maintain proper communication with the Shorex Team, other department heads, and management to ensure smooth operation.
Liaise with department heads and Cruise Director for operational assistance.
Safety Responsibilities Practice Safe Lifting Techniques at all times.
Follow instructions noted on Safety Card.
Participate in Guest/Crew Lifeboat Drills as per instructions.
Other safety responsibilities as assigned.
Education/Position Requirements College Degree/Diploma beneficial.
Hotel or Tourism School beneficial.
Good geographical knowledge of the world and ports of call.
Minimum of one (1) year experience as Shore Excursion Manager or Assistant Shore Excursion Manager on board cruise ships.
Experience in preparing and conducting live presentations of Shorex Excursions.
Fluency in written and spoken English and German.
Excellent interpersonal and public communication skills.
Very good administrative skills (proficient in Microsoft 365, Outlook, Word, Excel, and PowerPoint).
Very good organizational skills and the ability to multi-task.
Ability to interact with all levels of people.
Ability to remain calm under pressure.
Service-minded with an outgoing, charming, and friendly personality.
