Job Description The job purpose of an administrative assistant is to support the efficient operation of an organization by performing a variety of administrative and clerical tasks. They are crucial in ensuring that an organization runs smoothly and efficiently, allowing other employees and executives to focus on their primary responsibilities. What you will do: You will be the gatekeeper for schedules, with strict diary management, create win-win situations for every meeting, and operate across multiple time zones with flexibility. Keep your manager well informed of his/her commitments and responsibilities. You will act as a "barometer" for the issues taking place in the environment. Properly document decisions, action items and circulate them to attendees. Spend some of your time organizing events- IE: logistics, Offsites, Supplier setup, invoicing, Organizational support, and more! Assist in creating material for All Hands calls and newsletters / internal comms. Booking all travel and process expenses for your exec in a timely manner. Ensure that the org chart for Professional Services, Customer Experience & Customer Support is regularly updated. Organize the full onboarding and offboarding of those reporting into your exec. Keep the ROB (Rhythm of Business) for the Customer Success Org up to date for Professional Services, Customer Experience & Customer Support. Network with internal and external teams. Have a natural ability to communicate with others and be personable. Qualifications 2-4 years of administrative assistant experience or comparable professional experience Great verbal and written skills. Be highly organized with the ability to multi-task, prioritize and work well under pressure. Attention to detail: Follow procedures and ensure accuracy in all documentation and data. Work to a consistently high standard. Teamwork: Display enthusiasm and promote a friendly group working environment, easily connect and talk with people on different levels. Integrity / confidentiality: Display discretion always, ensuring all sensitive data is kept completely confidential. Demonstrate sound judgment and raise any concerns that may arise. Resourcefulness: Ability to be a problem solver and a creative thinker. Love to work in a dynamic and fast-paced environment. Eager to learn and understand the business' priorities and challenges. Available to travel when and if necessary
